Nanny GPS: Help

For those that have not used this site before the following guidelines will help you.

  1. Create a profile

    The first step is to create your profile on Nanny GPS. There are two types of profiles:

    • Candidate: This profile is for jobseekers. If you are an Au Pair or Nanny looking for either fulltime or part-time work this is the profile you need to complete. Click au pair and nanny registration, select the Candidate option and click on Send. You will be prompted to complete a short form about yourself and the type of job you are looking for.

    • Family: This is the profile for families. If you are a family looking for an Au Pair or Nanny on either a part-time or fulltime basis this is the profile you need to complete. Click family registration, select the Family option and click on Send. You will be prompted to complete a short form about your family, your childcare job and the type of candidate you are looking for.

    Completing your profile will only take a couple of minutes. Some of the questions are mandatory and require an answer. Mandatory questions have a * beside them. You can also add up to 5 photos with your profile. Creating a profile on Nanny GPS is free.

  2. Edit my Login/Contact Details/Profile Information

    Once you have created and saved your profile on Nanny GPS you can change this at any time. Simply login click on the My Account button. My Account has four main areas:

    • Upgrade: This is where you can upgrade your membership to Premium Membership.

    • Edit my Profile: Click on Edit my profile and select the area you'd like to edit:

      • Login Details: To change your password or email address.
      • Contact Details: To change your Name, Address, Location and Phone contact information.
      • My Profile: To change any details about yourself, such as main photo, your experience, background, etc.
      • My Introduction: To change any of the free text elements of your profile, such as your headline.
      • My Preferences: To change any of your preference information. For families this section details your childcare job and for candidates this section outlines the type of job you are looking for.
      • Times: To change any of the earliest start date/latest start date and durations.
      • Gallery: To change any of the photos in your photo gallery. You can add up to 4 additional photos here.
      • Alerts: To change any of the automated email alerts sent to you by Nanny GPS. If you wish to receive alerts select Yes, if you wish to cancel these alerts select No.
    • Cancel: This is where you can delete your account from our site.

    • Validate: Only shown when you first register and whenever you change your email address. You need to add in the email validation code to activate your profile on Nanny GPS.

  3. Search

    There are three ways to search on Nanny GPS:

    • Standard Search - Click on the Search button on the top navigation bar. Select either to search for Candidates or for Families. This will allow you to conduct a fast search on such filters as location, start date, duration, gender etc.

    • Advanced Search - The advanced search gives you more search filters, and allows you to search on most of the profile information to help you narrow your selection down further. Advanced filters, such as languages, years experience, nationality, driving licence etc are all available to you. The search button is used to toggle between the Standard and Advanced searches.

    • New Matches - A new match is an automatic search based on your profile preferences. As new profiles are created on Nanny GPS they are matched against your own profile preferences. If there are any matches for you, these profiles are automatically displayed in your New Matches. Simply click on the New Matches button to see the profiles listed.

  4. Search Display Options

    Searches are automatically displayed by registration date, the most recent listed first.

    You also have options on how you wish to view the search results. Click on the "Sort Options" button to change the search results order.

    • "Sort by" displays the result by either Name or Earliest start date. Select your preferred option from the drop down menu.

    • Select either Ascending or Descending order.

    • You also have options on how many results you'd like displayed per page.

    To go back to the default search, click on the "No Search Options" and this will close this window.

  5. Alerts

    There are currently three types of email notifications sent from Nanny GPS and you have the option of receiving these. The standard default is set to No, which means you will not to receive these alerts unless you specifically request them. To activate any of the email alerts, go to My Account, select Edit My Profile and click on the tab for Alerts.

    • Instant alert

      Receive an instant email every time you are added to or rejected from a shortlist or you receive a new message.

    • Daily summary

      Receive an email notification when in the last 24 hours you were added to or rejected from a shortlist, and all messages you received.

    • Best match

      Receive an email notification when in the last 24 hours a new member signed up that matches your search criteria.

  6. Add to my Shortlist

    For Families:

    Families can search for candidates. If you are interested in communicating with a specific candidate, the first step is to add them to your Short List. To short list a candidate, click on the Shortlist button ("Add to Shortlist") which is located under the candidates' photo. This will then send an automated message to that candidate advising them that you are interested in discussing your childcare job. The candidate has the option of Accepting or Rejecting your interest.

    While you wait on their response, their profile is listed as Pending.

    If the candidate Accepts your interest, the Pending status is removed. To view your Short List, click on the Short List button on the top of the screen.

    If the candidate Rejects your interest, the Pending status is changed to "has rejected" status. At this point you should also Reject this candidate from your short list. This action will automatically move this profile to your "Rejected Applications" folder

    Your "New Applications" folder will display candidates who are awaiting a response from you. These are candidates who have added you to their own short list. If you accept this candidate, they will be automatically added to your short list. If you Reject them, they will automatically be moved to your Rejected folder.

    For Job Seekers:

    Job seekers can search for families. If you are interested in communicating with a specific family, the first step is to add them to your Short List. To short list a family, click on the Shortlist button ("Add to Shortlist") which is located under the family photo. This will then send an automated message to that family advising them that you are interested in applying for their childcare job. The family has the option of Accepting or Rejecting your interest.

    While you wait on their response, their profile is listed as Pending.

    If the family Accepts your interest, the Pending status is removed. To view your Short List, click on the Short List button on the top of the screen.

    If the family Rejects your interest, the Pending status is changed to "has rejected" status. At this point you should Reject this family from your short list. The family profile will be automatically be moved to your "Rejected Applications" folder.

    Your "New Applications" folder will display families who are awaiting a response from you. These are families that have added you to their short list. If you accept the family they will be automatically be moved to your Short List. If you Reject them they will be moved to your Rejected folder.

  7. Manage my Shortlist - Shortlist Tools/Wizards

    There are four main system folders already set-up to help you manage your selection process. These are:

    • My Short List - this folder is the landing folder for the profiles you short-list during your searches.

    • New Applications - this folder lists all your new applications, or people who have added you to their short list and are awaiting you to respond.

    • Deleted Profiles - You have the option of deleting profiles from your Short List. Profiles moved to the Deleted folder will remain in the deleted folder as if you haven't previously communicated with them.

    • Rejected Applications - You have the option to reject applications. Click on the Reject button below the picture. Rejected applications are removed from your Short List and moved to your Rejected Applications.

  8. Create Personal Folders

    The Short List tools wizard gives you the option of managing your own folders. All Personal folders have the effect of still being on your Short List, meaning you can still communicate with these profiles, as long as you both have confirmed interest in each other.

    • Create a personal folder - To create a new folder, click on the Manage Folders button. Click on the Folders Menu, select new from the drop down list and type in the name of your folder. For example, you may create a folder called "Reference Check". Once you have created your folder, click on the Browse Folder button to close the Manage Folders options. This will allow you to start using your folders.

    • Rename a personal folder - You can rename your own personal folders. Highlight the folder you wish to rename, click on the Folders Menu and select Rename from the drop down list. Type in the new name you want to call this folder. You can only rename personal folders created by you.

    • Delete a personal folder - You can delete your own personal folders. Highlight the folder you wish to delete, click on the Folders Menu and select Delete from the drop down list. Type in the new name you want to call this folder. You can only delete personal folders created by you.

    When you have finished with the Manage Folders options (create/rename/delete) you need to click on the Browse Folders button to go back and use your folders.

    You can move applicants between personal folders the same way you move them between system folders. Simply highlight the profile and drag it to the folder you want to save them to.

  9. Secure Messaging Facility & Private Notes tool

    The secure messaging facility is only available to Premium members. Premium members can send messages to and receive messages from both premium and standard members.

    Messages/emails can be sent between candidates and families as long as both parties have confirmed each other on their respective Short Lists. This ensures that you only receive messages from people you are interested in communicating with. For example, if you are waiting on a candidate to accept interest in your family you will not be able to send that candidate a message until they confirm Acceptance and add you to their Short List.

    • Send a Message: From your Short List folders, click on the candidate/family you wish to send a message to. This will display their profile to the right of the screen. You have the option of clicking on Full View to display their profile in the centre of the screen. Click on the Messages tab. Click on "Compose a Message". Type in your message and once complete click on the "Send Message" button. This will send the message, as well as save the message at the bottom of the Messages Log.

    • Private Note: You have the option of adding in private notes to help you keep track of the selection process for this particular candidate. For example, you may wish to remind yourself of further questions or make some notes about why you are rejecting a particular candidate. To add a Private Note, click on the "Add a Private Note" button and type in the note for yourself. Click on "Save Note" to save this note.

    • Messages Log: The messages log keeps track of all your outgoing (sent) messages, your private notes and your incoming messages (inbox). Each type of entry (outgoing, private, incoming) is listed in a different colour so you can easily identify the type of message. The date is also logged beside this entry. This keeps all your correspondence with this particular candidate together in one list or log.

    • Incoming message: When you have new incoming messages, your Short List folders will be highlighted in bold with a number in brackets. This indicates to you that you have new messages and the number of profiles in that folder that have sent you new messages. Click the folder to open it. If a candidate/family has sent you new messages it will display "New Message" under their photo. To read the new message, click that candidate/family, and click on the messages tab. The messages log will open at the bottom showing the new incoming messages.

    • Receive messages/Refresh If you receive notification in your personal email that you have a new message, yet this new message is not displayed for that candidate/family in your Short List, simply click on the Refresh button in the Messages tab. This will refresh your screen and show your new messages.

    • Stop Receiving Messages from certain people: To stop receiving messages from people you do not want to receive messages from, simply Reject them from your short list. You can do this by either clicking on the Reject or Delete buttons below the person's picture. You are always in control on who you want to communicate with.

  10. Membership - Upgrade/Subscription

    Registration on Nanny GPS is Free for standard membership. To use the full range of services offered by Nanny GPS, including the secure messaging system, you need to upgrade to Premium Membership. Premium membership is charged on a monthly subscription basis. The charges for a one month subscription is €14.95/£12.95/US$19.95.

    To upgrade to premium membership, login to Nanny GPS, click on My Account and select the Upgrade button. Select your preferred currency. We currently accept payment in Euro, USD dollar and Pound Sterling. We use Royal Bank of Scotland Worldpay as our secure online payment partner. All monetary transactions are conducted in a very secure and safe environment.

    When you click on the Subscribe button you will be taken to the RBS Worldpay secure payments website to process your payment. Once the payment is processed, please close the RBS Worldpay window and return to Nanny GPS. You will need to click on the "Refresh" button on the Upgrade page to update the status of your membership from Standard to Premium membership.

    You will receive a payment confirmation email directly from RBS Worldpay (shopper@rbsworldpay.com). This emaili will contain your username and password to login to RBS Worldpay.

    This monthly future payment agreement gives you the flexibility to avail of the Nanny GPS service for as long, or as short, a time as you need without having to join up for a minimum number of months.

    The monthly subscriptions will be automatically charged each month until you cancel your subscription.

  11. Membership - Cancel Subscription

    You can cancel your subscription anytime before the next monthly subscription payment is due. You can check when your next payment is due by clicking on "My Account" and selecting "Upgrade". The next payment date is displayed on screen.

    To cancel your subscription click on the "Unsubscribe" button and click "Yes" to the "please confirm" question. By clicking "Yes" your subscription will be cancelled and your membership will revert back to Standard Membership once your current subscription date has expired.

    Alternativley you can cancel directly with RBS Worldpay. You can visit the RBS Worldpay Shopper Help page at http://www.rbsworldpay.com/shopper if:

    • You have a query regarding the billing of your agreement

    • You want to login to the Shopper Management System to check your FuturePay agreement details, cancel the agreement, or make changes to your card, contact or username/password details

  12. Delete my Profile

    To delete your account from Nanny GPS, login and select My Account. Select the Cancel option and complete the cancellation form.
